Privacy Notice – Okehampton Business Improvement District (BID)

West Devon Borough Council takes your privacy seriously. We will use your information for the purpose of collecting and recovering BID Levy payments and contacting you about BID projects / budget and other operating information relating to the Okehampton BID. This notice sets out what we will do with your personal information and who we may share it with in respect of the above. 


What information about you do we collect? 

We collect the following information: 

  • Name 
  • Telephone number 
  • Email address 
  • Bank account and payment details 
  • Your address for billing purposes, which will be held by the Council only and not shared with any third parties 
  • Your business address to be shared with the BID company 

How do we collect information about you? 

Relevant personal data will be collected: 

  • Direct from you as the data subject 
  • From the Council’s Business Rates System 

How will your personal data be used? 

Your personal data will be used in the following ways: 

  • For the billing and collection of the BID Levy under the terms of BID Operating Agreement. 
  • To contact you about BID projects / budget and other operating information. 

The Legal basis for processing your data 

Article 6(1)(c) Processing is necessary for compliance with a legal obligation to which the controller is subject.

In this case Okehampton BID must comply with Business Improvement Districts 

(England) Regulations 2004 which sets out clear guidelines for BID’s and their duties and responsibilities in relation to all those persons who are liable for the BID levy and to ensure that they have received the necessary information about the operation of the BID and how their money is being spent. 

Schedule 4 Regulation 15 of the legislation details the minimum amount of information that is required to be given. 

Article 6(1)(a) The data subject has given consent to the processing of his or her personal data for one or more specific purposes. 

This relates specifically to communications from the BID company about projects / budget and other operating information. If you do not wish to receive these communications, you can withdraw your consent at any time.  


Who will your personal data be shared with? 

West Devon Borough Council’s Revenues Service in order for them to contact you about payment of the BID Levy. 

The BID company, so that they can contact you about BID projects / budget and other operating information. 

The name of the Levy Payer, business address, the amount of levy charged and collection data will also be shared with the BID company. 

We will never sell your data to anyone else. 


Transferring of data outside of the EU 

Your data will not be transferred outside of the EU. It will be securely stored electronically within the UK only, unless it was necessary for safeguarding or for the prevention and detection of crime. 


Length of time we keep your information  

We will retain personal data for no longer than 6 years from the creation of the record.
